This Privacy Policy explains how DigiVort ("DigiVort", "we", "us") collects, uses, shares and protects personal information through our website, our project and contact forms, and our client portal. We operate from offices in British Columbia, Canada and Dubai, United Arab Emirates, and we handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), British Columbia's Personal Information Protection Act (BC PIPA) and the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (UAE PDPL), as they apply to us.
This policy does not cover personal data we process on behalf of clients inside the websites and platforms we build for them. That processing is governed by our written agreements with each client.
Information we collect
Contact and project forms. When you contact us or submit a project request, we collect your name, email address, and any details you choose to give, such as phone number, company name, country, budget range, timeline and a description of your project.
Client portal accounts. If you are a client or a client's team member, we create a portal account with your name, email address, company, role and login credentials (passwords are stored only in hashed form). We also keep records of portal activity, such as messages, approvals, invoices and support tickets.
Files you upload. You may upload files through our forms or the client portal, such as briefs, content, images, documents or data exports. These may contain personal information about you or others. Please share only what we need for the project.
Technical information. When you use our website, our servers record standard technical data such as IP address, browser type, pages requested and timestamps. This is used for security, troubleshooting and preventing abuse.
Cookies and analytics. We use essential session cookies and first-party, privacy-friendly analytics. We do not use advertising or cross-site tracking cookies. See our Cookie Policy for details.
How we use information
We use personal information to:
- Respond to enquiries and prepare proposals and quotes
- Deliver, manage and support projects, including through the client portal
- Send invoices, keep accounting records and meet legal obligations
- Keep our website and systems secure and working properly
- Understand, in aggregate, how our website is used so we can improve it
We do not sell personal information, and we do not use it for third-party advertising. We will only send you marketing emails if you have agreed to receive them, and you can unsubscribe at any time.
Legal basis and consent
We collect and use personal information with your consent, which you give when you submit a form, create a portal account or otherwise share information with us, or where it is needed to perform a contract with you, to comply with the law, or for our legitimate business interests in a way that does not override your rights. You may withdraw consent at any time, subject to legal or contractual limits, though this may affect our ability to provide services.
Sharing information
We share personal information only as needed with:
- Our team in our British Columbia and Dubai offices, on a need-to-know basis
- Service providers that host our servers, deliver email, store backups or process payments, under contracts that require them to protect the information
- Authorities, where required by law or to protect our rights, our clients or the public
Transfers between offices and countries
Because our team works from Canada and the UAE, personal information may be accessed from, stored in, or transferred between these countries, and to the countries where our service providers operate. When we transfer information, we use contractual and technical safeguards, including access controls and encryption in transit, to protect it to a standard comparable to that required in the place it was collected. Information stored in another country may be subject to that country's laws.
Retention
We keep personal information only as long as we need it:
- Enquiries that do not become projects are deleted within 24 months of our last contact
- Client portal accounts, project files and correspondence are kept for the life of the engagement and up to 24 months afterwards, unless a client agreement says otherwise
- Invoices and accounting records are kept for as long as tax and accounting laws require
- Server logs are generally kept for no more than 90 days
When information is no longer needed, we delete or anonymize it securely.
Security
We use reasonable administrative, technical and physical safeguards, including encrypted connections, hashed passwords, role-based access, regular updates and backups. No system is completely secure, and if a breach creates a real risk of significant harm, we will notify affected individuals and regulators as the law requires.
Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Ask us to correct inaccurate or incomplete information
- Ask us to delete information, or restrict or object to certain uses
- Withdraw consent and receive a copy of your data in a portable format
- Complain to a privacy regulator, such as the Office of the Privacy Commissioner of Canada, the Office of the Information and Privacy Commissioner for British Columbia, or the UAE Data Office
To make a request, email us. We may need to verify your identity, and we will respond within the time required by applicable law.
Children
Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. If changes are significant, we will post a notice on our website or contact portal users directly.
